Settings

Name and logo, defaults, running the account as a company and setting up company sign-in (SSO) — step by step.

Under Administration → Settings you decide what your account is, how it presents itself and how people get into it.

At the top sits the account's head: logo, name and, at a glance, what applies — company or individual, the plan, an active company sign-in. From there Subscription & packages leads straight to the subscription. Below it the page is split into sections:

GeneralSection
The account details and the defaults for customers and new projects.
CompanySection
Running the account as a company, company details for invoices and the letterhead.
Payoutaccount owner only
Where income from the shop, delivery and streaming is paid out to — entered once, paid out weekly.
DomainsSection
Verifying your own domains with a TXT record, so the website and emails can use them.
Sign-incompany accounts only
Company sign-in (SSO).
Integrationscompany accounts only
WhatsApp Business.

On a phone you pick the section in the menu below the head; on a large screen they are tabs.

Getting to the settings

1 Open the sidebar.

2 In the Administration section, tap Settings.

On a large screen the sidebar is always open — step 1 does not apply there.

Name and logo appear at the top of the sidebar, in the account switcher and on every invitation. As long as a personal account still carries your own name, the sidebar shows My workspace there — with a name of its own, your account appears at the top.

1 The logo sits in the head, 2 the name in the Account details of the General section.

3 Tap the logo and choose Choose image. Once a logo is set, the same menu also offers Adjust the section and Remove.

Then upload an image file or pick one from the media pool. The logo is filed in the media pool's Organisation/Logo folder.

4 Set the section: drag the picture under the round frame into place and zoom with the slider, the mouse wheel or two fingers. The preview below shows the logo at the sizes it appears in later. 5 Apply.

Originalkept
The section is saved as a new file next to the original. You can reset it at any time via Adjust the section.

6 Name and logo are saved automatically as soon as you leave the field or apply the crop. The top right then reads Saved, and Changes saved briefly appears at the bottom right.

The sidebar shows logo and name at once.

Defaults

In the General section the Defaults card sets two things for the whole account:

Language for customersAccount
The language the account writes to its customers in, for instance in offers.
Currency of new projectsAccount · suggested: euro
Every new project starts in this currency. It can be changed in the project itself.

Run as a company

Every account starts as a personal account: it belongs to you alone. As soon as others are to work in it, switch it to company. That opens everything a team needs:

Invite team members

Login users with a role exist only in company accounts. Contacts and customers can be added without switching.

Company sign-in (SSO)

All members sign in through your company's Microsoft Entra ID or Google.

Real people in the project team

The project team consists of members with their own login instead of mere names.

Company details on invoices

Company name, VAT ID and billing address appear on your documents.

3 Switch to the Team & company section.

4 Flip the Team account switch — the change applies at once.

Then the sections only a company has appear — Sign-in with company sign-in and Integrations — and the Company section gains the company details for invoices. Your data, projects and subscription stay as they are; the switch only changes what the account allows.

Back to a personal account

The way back is open, but only as long as it takes nothing away from anyone:

Nobody else in the accountCondition
If other people with a login still work in it, ModiFax refuses: “Other people still work in this account — it cannot be a personal one.” Remove them first under People & invitations.
No company sign-in activeCondition
If company sign-in is switched on, switch it off first. Otherwise the answer is: “Company sign-in is still enforced on this account. Turn it off first.”

Setting up company sign-in (SSO)

With company sign-in, your company's data opens to the team only after a sign-in through your company's identity provider — Microsoft Entra ID or Google Workspace. In ModiFax itself everyone keeps signing in as usual; for the company's account the sign-in with the company account is added, and it holds for 24 hours per device. What this means for every member and for your IT is collected under Company sign-in (SSO).

Requirements

Company accountRequired
The Sign-in section only appears once the account is run as a company.
Account ownerRequired
Only the owner may set it. Administrators do not see the section.
Complete BusinessRequired
Company sign-in is part of Complete Business; without it, it cannot be switched on, and Upgrade leads there. With a smaller package, ModiFax unlocks it with an enterprise contract (package Enterprise-SSO).
Provider and directoryMicrosoft or Google
For Microsoft the tenant ID, for Google the Workspace domain. Only accounts from exactly your directory get through.
A company account per personRequired
Every member needs an account in this directory. The address does not have to be the one in ModiFax: at the first company sign-in, ModiFax links the company account to the person and from then on lets only them through.

Switching it on

5 Switch to the Sign-in section.

6 Switch it on. 7 Choose the provider. 8 For Microsoft, enter the Entra tenant ID, for Google the Google Workspace domain. 9 Save the SSO setting.

While company sign-in is active, the head of the settings carries the green badge Company sign-in on. Your team learns by notification that it now applies.

If your last sign-in was a while ago, you confirm once more that it is you before saving. A setting that can lock everyone else out should not be changeable from a forgotten, open session.

Finding the tenant ID

The tenant ID identifies your Microsoft directory — a long string in the format 00000000-0000-0000-0000-000000000000.

  1. Open the Microsoft Entra admin center (entra.microsoft.com) and sign in as at least a Global Reader.
  2. Go to Entra ID → Overview and open the Properties tab.
  3. Copy the Tenant ID and paste it into ModiFax.

Often quicker: the account menu at the top right of the admin center shows the directory or tenant ID directly.

With it, only accounts from exactly your directory get through; private or other Microsoft accounts are turned away.

What changes for the members

A company account for your data

When a member opens the company's account, ModiFax asks for the company account, and then not again for 24 hours per device. Their own sign-in and their other accounts stay as they are.

One login, centrally controlled

Whoever is blocked in the company directory can no longer reach your data after 24 hours at the latest — without anyone having to do anything here.

The owner is exempt

The requirement deliberately does not apply to the owner, otherwise one wrong setting could lock the whole company out. Your customers, too, keep signing in as usual.

How newly invited people and people with a login of their own get in is shown in Registration → Into a company with company sign-in. What it looks like for existing members — including when someone picks the wrong provider or a private account — is described under Signing in → Company sign-in.

When it is worth it

  • You already use Microsoft 365 or Google Workspace. Then your directory decides who reaches your data, and your rules for password length, two-factor and device policy apply automatically.
  • You have staff turnover. Leaving means: deactivate in the company directory — after 24 hours at the latest your data is closed, even if the removal in ModiFax is still pending.
  • You have to prove access. Sign-ins run centrally through your provider and are logged there.

For individuals and small teams without a company directory, SSO makes no sense: passkey plus two-factor gives the same protection without the extra administration.

Switching it off

Switch off, Save the SSO setting — from then on your data opens again without company sign-in, and your team learns of it by notification. Only then can the account be turned back into a personal one.
