People & invitations
Bring team members, contacts and customers into the account, edit and remove them — and who owns what along the way.
Under Users & contacts your account keeps everyone it works with: team members with their own login, customers with access to the customer portal, and contacts that are simply recorded. All of them come into the account the same way — the Add person button.
Getting to the people list
1 Open the sidebar.
2 Tap Users & contacts.
3 Add person.
The three kinds of people
Filling in the details
4 Choose the type. 5 Check the account the person comes into. 6 Enter the name and 7 the e-mail address. 8 Invite — for a contact the button reads Create.
The invitation goes out by e-mail right away. The membership only comes into being once the person accepts. If they already have a ModiFax login, they sign in with it; otherwise they register through the link in the mail. What this looks like for the invited person is described under Registration → Following an invitation.
Which account counts
The Account field decides where the person goes and whose seat they take. If you work in several accounts, only those where both of the following apply are listed:
You may invite there
The account has a subscription
Team members only in companies
If exactly one account qualifies, it is filled in and fixed. If none does, the form explains why — for example that your own account has no subscription yet and you have the right to invite in no other.
Which account the invited person has themselves does not matter. Whether they are new or already have their own account with or without a subscription: they are always invited from an account with a subscription, and that is where they then work.
Editing people
In the list, the ⋯ menu of a row has the Edit entry. What you may change there depends on whether the person has their own login.
Someone with a login keeps their own details
Name, e-mail, phone, position, company and address are greyed out. The person keeps them up to date in their own profile.
An account can not overwrite the profile of someone with their own login — not even an administrator. Otherwise a change in one account would show up in every other account and in the person's own profile. For a contact without a login it is the other way round: your account keeps their master data, and the fields are open.
For this account
1 Department and 2 Notes belong to your account. Save at the bottom of the page.
What your account records about a person lives in its own section next to their profile:
Removing someone from the account
A login user is removed on their detail page via ⋯ → Remove from the account. A contact is deleted directly in the list via ⋯ → Delete.
Only the membership ends
Your notes go with it
Company address and private address. Whoever came into the app through your invitation stores a private address right afterwards. On removal, the person's login moves to that address — the company address then no longer opens their own account. The company address is freed and can be used again for a new invitation.
Clients
A client is the company a project is made for — the name in the project's Client field. A client is not a person and gets no login: whoever at a client should see the customer portal comes into the account as a Customer via Add person.
1 In Users & contacts, choose the Clients tab.
The list shows every client with the number of its projects and the last change. At the top you search by name; the Show filter switches between Active and Archived.
2 The ⋯ menu of a row offers what can be done with the client.
Whoever may only read projects sees the list but changes nothing. If you work in several accounts, you choose the account with the tabs above it: clients of two accounts are never mixed or merged.
