Creating a project

A new project in five steps — kind, details, tools, roles and summary. Or like an earlier project, for recurring jobs.

A project is the production, the commission or the monthly work for a client — everything that belongs to it lives inside. The wizard asks only what it really needs and suggests the rest. Every detail can be changed later.

Starting a new project

1 Tap New project at the start of the project list.

The entry is shown to whoever holds the right Create projects.

Step 1 — Kind

1 Start from scratch — or choose an earlier project as a template. 2 Choose the kind of project.

The kind decides which tools are suggested and how the period is asked for:

Video productionperiod from – to
A shoot with everything that goes with it: shooting days, scenes, cast, call sheets, screenplay.
Ongoing retainerover months
Monthly work for a client: tasks, delivery, approval, budget and contracts. It asks for the first month and, if agreed, the last — plus hours and fee per month.
Own contentone month
The same monthly work for your own company, such as the posts for your own channels. There is no client: the wizard asks neither for a customer nor for an invitation.
Single jobperiod from – to
A commission from start to finish: tasks, delivery, approval, budget.

If you work in several accounts, the step first asks for the account the project is created in. Only the accounts in which you may create projects are offered.

Like an earlier project

For recurring jobs: kind, tools, client, departments and signatures come from the chosen project; you set the name and period anew. Two more things can be taken over:

Take over the team

Everyone with their positions. They are told as with any admission to a team.

Take over the tasks

Open again, the due dates at the same distance from the start, the checklists empty.

Step 2 — Details

1 Enter the project name — the only required field. 2 Choose the client or create a new one right there.

Everything else is pre-filled or optional:

Project typevideo production only
Feature film, commercial, documentary … The type the account has most often is suggested.
Clientpre-filled
The company the project is made for. The client of your last project is suggested. Not for Own content.
Periodpre-filled
Starting today, ending after the usual length of your projects.
Client totaloptional
What the client pays in total, plus Paid so far and the currency. The client sees the payment status in the client portal. Your own costs are planned in the budget.
Project imageoptional
Without an image, the card shows a film strip in the project's colour.
Departmentsvisibility
Without a choice, every department sees the project. With a choice, only those departments, the project team and whoever may see all projects.
Inviting clientsoptional
An e-mail address: an existing account is linked, a new address gets an invitation to the client portal. Not for Own content.

Step 3 — Tools

1 Every tool has a switch. What suits the chosen kind is switched on.

A tool is an area of the project — screenplay, shooting days, budget, contracts and so on. What is switched off does not appear in the project and is in nobody's way. Only the team and your own notifications are always there.

1 From other project kinds lists tools meant for another kind — for a video production, for example, the briefing of the ongoing retainer. You can switch them on all the same.

If a tool carries the Upgrade badge, it is not part of the account's plan; tapping it shows the plan that includes it. At the very bottom you switch on standard signatures: everyone on the team automatically receives the chosen documents to sign — for minors, their legal guardians.

Step 4 — Roles

1 Enter the name of the role, such as the narrator of an image film. 2 Add role for each further one.

Roles are the characters to be cast — the basis for casting. The step is optional: you can skip it and create roles in the project later.

Step 5 — Summary

All details at a glance; the pencil next to the name jumps back to the details. 1 Create the project.

The new project then opens. You can create shooting days and bring people onto the team straight away.

What happens if …

If …then …
you are offlinethe project is created all the same and sent as soon as you are back online. The wizard takes over an earlier project's team and tasks online only.
the plan allows no further active projectsno project can be created; New project leads to the plans.
you change the kindthe wizard suggests the tools of the new kind.
you switched tools by handyour choice stays — even if you change the account, unless its plan lacks a tool.
