Accounts & tenants
Working in several accounts, what belongs to each account, guests through a link and what happens when you leave an account.
An account is a tenant: a company or your own workspace. With one sign-in you work in as many accounts as you like. What belongs to an account — projects, people, files, notifications, live changes — is never seen by another account.
Working in several accounts
1 Which accounts you see, you choose at the top of the sidebar. In Backstage the lists of every chosen account stand together: the project list puts the projects under one heading per account, the other lists carry a mark of its account on each entry.
1 Pages about one account only — the settings, for example — show a tab per account at the top.
1 Whatever you create belongs to exactly one account. 2 The form asks which.
Studio and Distribution work in one account at a time; you switch at the top of the sidebar.
Guests through a link
With Share you open a single entry to someone, a shooting day for example. 1 You decide what the guest may do: read, comment.
The guest opens the link without a sign-in of their own and sees only what you shared.
Leaving an account
When a company takes you out, you get an e-mail. Your own accounts stay as they are.
In the company's projects your entries stay as former member: the history is kept, but you get no more messages and no more assignments from that account.
What happens when …
| When … | then … |
|---|---|
| you work in two accounts | Backstage shows both side by side. Every entry carries its account; nothing is mixed. |
| you open a notification from another account | the app switches to that account. Personal pages such as devices or your profile do not switch. |
| a project belongs to a department | the department sees it, the project team — members of other departments too — and whoever may See every project. Whoever declines the invitation to the team no longer sees it. |
| a client is taken off a project | it disappears from their client area at once, without a reload. |
| someone leaves the account | their team entries stay as former member. They get no more messages or assignments; notices naming only them go to the owner and the admins. |
| they come back | the project asks them again, and they decide themselves. |
| someone wants to open an entry of another account | only a shared link opens it — otherwise nothing comes back, through the interface neither. |
| you sign out | the offline data of every account is deleted from the device. |
